BUSINESS INTELLIGENCE THAT PEOPLE CAN USE

The business benefits of Microsoft Power BI

Power BI helps organisations move beyond scattered spreadsheets and static monthly reports. It provides a shared analytics environment where teams can connect information, explore trends, monitor performance, and communicate findings through interactive visual reports. The value is not simply a more attractive chart. The real benefit is giving the right people access to consistent information when they need to make a decision.

Faster management visibility

Bring important sales, finance, service, project, and operational measures into focused dashboards. Leaders can monitor progress, investigate changes, and act without waiting for manually assembled reports.

One view of multiple data sources

Connect information from spreadsheets, databases, cloud applications, ERP or CRM systems, and approved on-premises sources. A structured model reduces duplicated reporting and conflicting versions of performance.

Insight for every relevant role

Deliver executive summaries, departmental dashboards, and detailed analytical views from the same governed foundation. Users see information appropriate to their responsibilities and permissions.

Interactive analysis

Filter, drill down, compare periods, and explore the detail behind a result. Interactive reports help users understand what changed instead of only seeing a final number.

Better collaboration

Share governed insights through the Power BI service and connect reports with Microsoft Teams, PowerPoint, SharePoint, and other Microsoft business workflows where appropriate.

Security and governance

Apply workspace roles, sharing controls, data permissions, and row-level security as part of a planned deployment. A well-designed model supports wider access without losing control of sensitive information.

FROM RAW DATA TO A CLEAR BUSINESS STORY

Power BI features that make reporting more useful

Power BI Desktop provides a visual environment for connecting, shaping, modelling, and presenting data. Reports can then be published to the Power BI service for controlled sharing and collaboration, subject to the organisation’s licences and capacity configuration.

Teams can build reusable semantic models, define trusted calculations, create interactive reports, schedule data refresh, and provide different views for managers and operational users. Power Query supports data preparation, while DAX enables business calculations and analytical measures. Mobile access helps authorised users review dashboards away from their desks.

Where the source platform and solution architecture support it, Microsoft Power BI can also deliver real-time or near-real-time visibility for operational monitoring. EMAR evaluates refresh frequency, data gateway requirements, DirectQuery, streaming scenarios, capacity, and report performance before recommending an approach.

USE CASES FOR OMAN ORGANISATIONS

Power BI dashboards for different departments

Successful Power BI projects begin with decisions and questions, not with charts. EMAR works with stakeholders to define which measures matter, where the source data comes from, how often it changes, and who should use the result.

Finance

Monitor revenue, cost, margin, cash flow, receivables, budget performance, and management reporting with consistent definitions and controlled access.

Sales

Track pipeline, conversion, customer performance, target achievement, products, territories, and sales activity from a single interactive view.

Operations

Review service levels, inventory, delivery, procurement, resource utilisation, project status, and operational exceptions that require attention.

Marketing

Compare campaigns, lead sources, website performance, audience engagement, and customer acquisition activity alongside commercial outcomes.

Human resources

Understand workforce structure, recruitment, attendance, training, retention, and other approved workforce indicators while respecting confidentiality.

Executive management

Combine selected financial and operational indicators into an executive dashboard designed for fast review, discussion, and follow-up.

POWER BI LICENSING IN OMAN

Choose a licence based on how people create, publish, share, and view

Power BI licensing should be planned around user roles and the location of content. Microsoft Power BI combines user-based licensing with capacity-based options. A dashboard author, a report publisher, an internal viewer, an external customer, and an organisation using Microsoft Fabric capacity can therefore have different requirements. Buying the same licence type for everyone may be unnecessary, while sharing reports securely can fail when the environment is under-licensed.

EMAR Digital Solutions reviews individual users, reporting roles, the expected audience, data size, refresh needs, advanced features, security requirements, and future growth before preparing a quotation. This practical BI licensing assessment helps determine who needs a Power BI Pro license, who may need a Premium Per User (PPU) license, and whether a capacity model is commercially and technically appropriate.

Fabric Free and Power BI Desktop

Power BI Desktop is available for report authoring. A free user license supports personal creation and analysis in the service, but free users cannot normally use sharing and collaboration features in shared capacity.

Power BI Pro license

Power BI Pro is a user-based license for people who create, publish, share, read, and interact with content in the Power BI service. In shared capacity, users who consume another Pro user’s content generally also need Pro.

Premium Per User (PPU)

A PPU license includes all Power BI Pro capabilities and adds advanced features such as larger model support, more frequent refresh, advanced AI, deployment pipelines, and XMLA endpoint connectivity, subject to current Microsoft limits.

Power BI Premium capacity and Fabric capacity

Capacity licensing can support broader analytics workloads and organisational scale. In eligible Fabric F64 or greater capacity, authorised free users can view reports shared from that capacity, while content creators still require the appropriate Pro or PPU user license.

Power BI Embedded

For organisations that need customer-facing analytics inside their own application or portal. Licensing, architecture, authentication, branding, and expected usage should be designed together.

USER-BASED LICENSING EXPLAINED

How Microsoft Power BI user-based licensing works

A user-based model assigns a licence to each named person rather than to a device. The correct user license depends on what that person must do. Individual users who only create content for themselves can begin with a free account and Power BI Desktop. People who publish or share content usually require a Pro license or PPU license. People who need to view reports shared by colleagues also require the appropriate license unless the content is hosted in qualifying capacity.

The location of a workspace is therefore as important as the user’s role. In shared capacity, Power BI Pro users can collaborate with other Pro users. In a Premium Per User workspace, everyone accessing the content normally needs Premium Per User PPU. When content is stored in eligible Power BI Premium capacity or Microsoft Fabric F64 or greater capacity, creators need Pro or PPU, while authorised free users may consume shared content. EMAR maps these rules to your real audience before licences are ordered.

Creators and publishers

Analysts who build models, publish reports, manage workspaces, or distribute content normally need a Power BI Pro license or Premium Per User, depending on the required feature set and workspace.

Users who view reports

Viewer licensing depends on where the report is stored. In shared capacity, viewers normally need Pro. Free users can consume content when it is placed in qualifying dedicated capacity and permission is granted.

Advanced analytics users

PPU is intended for a limited group that needs Pro plus premium per-user capabilities. A PPU workspace is not the same as a dedicated Power BI Premium capacity workspace.

COMMERCIAL PLANNING FOR OMAN

Power BI pricing and licence cost

Power BI pricing is not only a question of the monthly price shown for one license type. The total license cost depends on the number of creators, publishers and viewers, whether advanced features are required, where reports are hosted, expected growth, and whether a per-user or capacity model is more suitable. A small team may be well served by Power BI Pro licenses, while specialist analysts may require Premium Per User. A larger viewing audience may justify a capacity assessment.

Some Microsoft 365 and Office 365 enterprise subscriptions, including eligible E5 plans, may include Power BI Pro. EMAR checks the customer’s existing Microsoft 365 tenant and subscriptions before proposing new licences, helping prevent duplicate purchases. Oman quotations can also reflect current Microsoft commercial terms, subscription commitment, local invoicing requirements, and applicable taxes.

Request a current licensing quotation

Microsoft list pricing, regional availability, currency, taxes, and CSP commercial terms can change. EMAR provides a current quotation after confirming the users, license type, sharing model, and implementation scope.

IMPLEMENTATION, NOT JUST SOFTWARE

Power BI installation and setup services

A reliable Power BI deployment needs more than installing Power BI Desktop. EMAR begins by understanding the decisions the organisation wants to improve. We then review source systems, data quality, ownership, access requirements, reporting frequency, and the people who will create or consume reports.

Depending on the project, setup may include Microsoft tenant checks, licence assignment, workspace architecture, Desktop installation, connectors, an on-premises data gateway, scheduled refresh, semantic model design, dashboards, publishing, permissions, row-level security, mobile layout, documentation, and user acceptance testing.

KEEP REPORTING RELIABLE AFTER GO-LIVE

Power BI support, optimisation, and user training

Reports can lose trust when source structures change, refresh fails, calculations are unclear, or users do not understand how to interpret the dashboard. Ongoing support protects the value of the initial implementation and helps the analytics environment develop with the business.

EMAR can assist with refresh and gateway issues, workspace and permission reviews, report corrections, model optimisation, new measures, dashboard improvements, documentation, and practical user guidance. Training can be adapted for report viewers, managers, analysts, and internal Power BI authors.

FREQUENTLY ASKED QUESTIONS

Power BI licensing and implementation FAQs

It depends on who creates, publishes, shares, and views reports, where content is stored, expected data size and refresh frequency, and whether Fabric capacity or embedded analytics is required. EMAR can review these factors before quoting.
Microsoft provides Power BI Desktop as a free report-authoring download. Publishing, sharing, collaboration, and some advanced scenarios require the appropriate account, per-user licence, or capacity.
Power BI Pro supports creating, publishing, sharing, reading, and collaborating in the Power BI service. Premium Per User (PPU) includes Pro capabilities and adds many premium features on a per-user basis. Users accessing content in a PPU workspace normally also need a PPU license.
In shared capacity, free users cannot normally consume content shared by Pro users. Authorised free users may view shared content when it is hosted in qualifying dedicated capacity, such as Microsoft Fabric F64 or greater, and the workspace and permissions are configured correctly.
Power BI Pro is included in eligible Microsoft 365 E5 and Office 365 E5 subscriptions. It is not included in every Microsoft 365 plan. EMAR can review your existing tenant and subscriptions before you purchase additional licences.
Power BI pricing depends on the number and role of individual users, the selected license type, advanced feature requirements, report distribution, capacity, commitment term, regional commercial conditions, and taxes. EMAR prepares a current Oman quotation after a licensing assessment.
Power BI can support real-time or near-real-time reporting in suitable scenarios. The result depends on the source system, connectivity mode, refresh design, gateway, report complexity, capacity, and licensing. EMAR assesses these dependencies before recommending the architecture.
Power BI supports many cloud and on-premises data sources. The practical answer depends on the exact system, connector, API, authentication, data quality, network access, and refresh requirement.
A gateway may be required when the Power BI cloud service needs controlled access to supported data sources inside your local network. EMAR can assess, install, configure, and document the gateway where needed.
Yes. Workspace roles, app audiences, permissions, and row-level security can be designed so authorised users receive appropriate views. Security must be planned and tested against your organisational requirements.
Yes. Dashboard work can include discovery, KPI definition, data preparation, modelling, DAX measures, report design, publishing, testing, training, and ongoing improvement.
Yes. EMAR can review an existing environment, investigate refresh or access problems, improve report usability and performance, organise workspaces, document the solution, and support future development.
The timeline depends on the number and quality of data sources, integration complexity, dashboard scope, stakeholder availability, security, and testing. A focused pilot can establish value before a wider rollout.
